The problem

Most small businesses do not have an AI problem. They have a clarity problem.

Every week brings a new tool that promises to save hours. Some would. Most would add a subscription, a login and a maintenance chore — and quietly cost more than they return.

Wasted spending

Overlapping subscriptions, tools bought for one feature, and "AI" add-ons that solve problems you never had.

Wasted time

Hours spent evaluating, configuring and babysitting software — while the actual repetitive work stays manual.

Unnecessary complexity

Automations that break silently, data spread across systems, and a stack no one fully understands.

How it works

A diagnostic instrument, not a chatbot

  1. 1

    Describe how your business runs

Twenty short questions about your time, customers, paperwork, tools and frustrations. About five minutes.

  2. 2

A rule-based engine weighs each area

Twelve durable categories of work are scored on time savings, frequency, repetitiveness, business impact, difficulty, risk, privacy and the need for human judgment.

  3. 3

    Receive your Blueprint

Prioritized opportunities, what to keep human, what not to buy, and an implementation order — each with the reasoning behind it.

Methodology

How recommendations are made

The engine is deliberately transparent and deliberately conservative. It runs entirely in your browser and never changes based on trends, vendors or advertising.

Twelve durable categories of work

Rather than naming products that will be obsolete in two years, the Advisor reasons about functional categories that have existed for decades and will keep existing: customer communication, scheduling, invoicing, writing, marketing, document processing, reporting, workflow automation, knowledge organization, research, lead follow-up and bookkeeping.

Eight weighing factors

  • Time savings potential — how many hours the category realistically absorbs
  • Frequency — daily and weekly work outranks occasional work
  • Repetitiveness — the same task done the same way is the strongest signal
  • Business impact — effect on revenue, customers and mistakes
  • Difficulty — setup effort relative to your comfort and available time
  • Risk — cost of an error in this area
  • Privacy sensitivity — personal, health, legal or financial data
  • Need for human judgment — relationships, expertise and liability

Four possible outcomes per category

Automate
Routine, low-risk and frequent. A system handles it with periodic checks.
AI-assisted, human-reviewed
Technology drafts, captures or organizes; a person reviews before it counts.
Keep human-led
Accuracy, privacy, judgment or relationships make human control the right call.
Not needed now
Too little signal in your answers to justify time or money.

Safeguards against bad advice

  • High-risk categories can never be marked "Automate," regardless of score.
  • High-stakes communication and accuracy-critical research are always protected as human-led.
  • The action plan is capped to what your stated time and comfort can absorb.
  • If you report unused subscriptions, an audit is placed before any new adoption.
  • Tensions between your answers are flagged rather than hidden.
  • Every recommendation must carry at least one reason drawn from your answers.

Limitations and disclaimer

What this tool is — and is not

This is a structured self-assessment, not professional advice. The Business Efficiency Blueprint is generated by fixed, transparent rules applied to your own answers. It is general information intended to help you think clearly about where technology fits in your business.

No outcomes are guaranteed. The Advisor does not promise time savings, cost savings, revenue growth or any specific business result. Real results depend on execution, your market and factors no questionnaire can capture.

It does not know your specific situation. Legal, tax, regulatory, medical and financial matters require qualified professionals. Recommendations about sensitive data are general reminders, not compliance guidance.

It does not recommend specific products. Categories of tools are described so the guidance stays useful as individual products, companies and technologies change. Evaluating any specific tool remains your responsibility.

Your data stays with you. Answers are processed in your browser and are never transmitted. Progress is saved only in your browser's local storage so you can resume; use "Start over" to clear it.
